Welcome, Speakers!

·      Notable Changes for 2012:  Projectors are all going to be 16x9. It will be extremely important for you to use our slide templates: note that the PowerPoint template will include both Breakout and General Session slide templates; check with your producer to confirm what sort of room you will be in.

DEADLINES & DETAILS:

Monday January 23: Title/Description due. Session titles, list of speakers and 1 paragraph description for Program book are due. Please indicate in the session description who the intended audience should be, and what they should learn in the session.

Friday February 17: all Speaker AV/Release forms are due. Click here to fill out the online speaker form.

Monday March 12: draft presentations due to your producer and to Kevin Ruppenthal

Monday March 26: final presentations due to your producer and to Kevin Ruppenthal

• LAPTOPS: Presenters providing their own laptops and desiring Internet connections must use a laptop equipped with an ethernet card and use TCP/IP protocol. No other network protocols are supported. If your presentation will include video or audio files, please submit those files along with your presentation.

• FONTS IN PRESENTATIONS: If you are using any special or uncommon fonts in your presentation, please be sure to embed those fonts within your file. You can learn how to do so here: http://support.microsoft.com/kb/826832

• HARD DRIVES / THUMB DRIVES: If you have a large presentation or video in your session, you may wish to send us your presentation and/or videos directly to PBS on a thumb drive or hard drive instead of emailing. Please send your drive to: Tim Morin c/o PBS 2100 Crystal Drive, #2428 Arlington, VA 22202 Tim can be reached for questions here. Please alert your producer if you are choosing this option.

 • PRESENTATION NAMING CONVENTION: For the naming structure for the presentation file, please use: Lastname_PresentationTitle_v# (VERSION #). Please do not mark any version "Final," just mark a version number. You may abbreviate the presentation title if needed.

 • MEDIA FILE TYPES / CODECS: Below are the tape and file format types our production company has recommended for playback of video files in the General Session room.  All media must be 1080i at 29.97 FPS in any of these formats:
-HDCAM
-XDCAM
-Avid Format
FINAL PRESENTATIONS AND VIDEOS ARE DUE TO PBS BY MONDAY, MARCH 26TH.

 • ROOM SETUP: GENERAL SESSION ROOM
-Podium, Head Table and 4 Chairs
-Computer Projector and Screen
-Wireless microphones
-PowerPoint 2010
-Cue system with remote for slide advancement from tech area
-wired Internet provided for show laptop
-see above for acceptable video codecs

 • ROOM SETUP: BREAKOUT ROOMS
-2 wired microphones at the head table and 1 wireless lavaliere microphone
-Podium with microphone
-Microphone on stand for Q & A
-Laptop computer w/ Office 2010 & DVD drive
-LCD projector and screen w/ switcher for 2nd laptop
-Laptop audio connection
-wired Internet for single PC at podium only
